Privacy Notice

Status: Approved for website use

Effective date: 8 October 2026

Responsible party: Collective Value Creation (Pty) Ltd

Information Officer: Wybrand Ganzevoort

Public privacy contact: info@collectivevaluecreation.co.za

1. Purpose of this notice

Collective Value Creation (Pty) Ltd (“CVC”, “we”, “us” or “our”) respects the privacy of people who visit our website, contact us, participate in our programmes, or use our services.

This Privacy Notice explains how we collect, use, store, protect and disclose personal information through the CVC public website and related enquiry processes.

This notice is intended to support CVC’s obligations under the Protection of Personal Information Act 4 of 2013 (“POPIA”).

2. Who is responsible for your personal information?

Responsible party: Collective Value Creation (Pty) Ltd

Information Officer: Wybrand Ganzevoort

Email: info@collectivevaluecreation.co.za

Address: 3 Columbine Avenue, Randburg, Gauteng, 2194

For website enquiries, the public contact address is info@collectivevaluecreation.co.za.

3. Personal information we may collect

When you submit an enquiry through our website, we may collect:

  • first name;
  • last name;
  • email address;
  • organisation;
  • role or job title, where provided;
  • telephone or mobile number, where provided;
  • area of interest;
  • the information you include in your enquiry;
  • the page, pathway or source from which you submitted the enquiry;
  • the date and time of the submission.

For website security, reliability and spam prevention, our systems may also process limited technical information such as:

  • IP address;
  • browser and device information;
  • server and security logs.

We aim to collect only information that is reasonably necessary for the relevant purpose.

4. Why we use personal information

We may use personal information to:

  • respond to an enquiry;
  • understand the service, programme or development priority you are interested in;
  • arrange a conversation, meeting or follow-up;
  • communicate with you about an enquiry or existing business relationship;
  • maintain appropriate business and correspondence records;
  • operate, secure and improve our website;
  • prevent spam, abuse, fraud or unauthorised activity;
  • comply with applicable legal and regulatory obligations.

Where appropriate, personal information may be processed because it is necessary to respond to a request you have made, to pursue legitimate business interests in a reasonable manner, to comply with a legal obligation, or because you have consented to the processing.

5. Information you choose to provide

Unless otherwise indicated, supplying information through the website contact form is voluntary.

Certain fields are marked as required because we need that information to understand and respond to your enquiry. If you do not provide the required information, we may be unable to respond effectively.

Optional information, such as a telephone number or role/title, may be left blank.

6. Direct marketing

Submitting a general enquiry does not automatically subscribe you to marketing communications.

If CVC introduces newsletters, promotional mailing lists or other electronic direct-marketing activities, any consent or opt-in required for that purpose will be handled separately from the ordinary contact-enquiry process.

Where applicable, marketing communications will include an appropriate way to opt out.

7. Automatic acknowledgement emails

When you submit an enquiry, we may send you a short automatic email confirming that your enquiry has been received.

This acknowledgement is transactional and is not treated as consent to receive marketing communications.

8. Sharing of personal information

CVC may share personal information only where reasonably necessary with:

  • authorised CVC personnel who need the information to respond to or manage an enquiry;
  • website hosting and technical service providers;
  • email and SMTP service providers;
  • professional advisers or service providers where reasonably necessary;
  • regulators, public authorities, courts or other parties where disclosure is required or permitted by law.

Service providers are expected to process personal information only for legitimate purposes and with appropriate safeguards.

CVC does not sell personal information.

9. Website hosting and email services

The CVC public website is hosted using CVC’s existing hosting environment, currently provided through Registerdomain.

Website enquiry emails are transmitted using CVC’s authenticated email/SMTP environment. Public correspondence is presented through info@collectivevaluecreation.co.za, while website form submissions may be routed internally to authorised CVC personnel for response.

10. Analytics and cookies

At initial launch, the CVC public website is intended to operate without third-party visitor analytics or advertising trackers.

The website may use strictly necessary technical functionality required for security, form handling, session protection or website operation.

If CVC later introduces analytics, marketing technologies or non-essential cookies, this notice and any required cookie/consent controls should be updated before those technologies are activated.

11. Spam and security controls

The website may process limited technical information to protect forms and services against spam, automated abuse and malicious activity.

The initial contact-form implementation may use measures such as:

  • server-side validation;
  • CSRF protection;
  • hidden honeypot fields;
  • rate limiting;
  • security and server logs.

CVC does not intend to use third-party CAPTCHA or behavioural tracking tools at initial launch unless they become reasonably necessary.

12. Retention of personal information

CVC retains personal information only for as long as reasonably necessary for the purpose for which it was collected, to maintain appropriate business records, or to meet applicable legal, regulatory, contractual or legitimate operational requirements.

When personal information is no longer required, CVC will take reasonable steps to delete, destroy, de-identify or otherwise dispose of it securely, subject to applicable requirements.

13. Security

CVC takes reasonable technical and organisational measures to protect personal information against:

  • loss;
  • damage;
  • unauthorised destruction;
  • unlawful access;
  • unlawful processing;
  • unauthorised alteration or disclosure.

No internet-based system can be guaranteed to be completely secure. CVC therefore continually aims to apply safeguards appropriate to the nature of the information and the risks involved.

14. Cross-border processing

Some technology or service providers may process or store information outside South Africa.

Where personal information is transferred outside South Africa, CVC will take reasonable steps to ensure that the transfer is handled in a manner consistent with applicable POPIA requirements and that appropriate safeguards are in place.

15. Your rights

Subject to applicable law, you may contact CVC to:

  • ask whether we hold personal information about you;
  • request access to personal information held about you;
  • request correction or updating of inaccurate information;
  • request deletion or destruction where legally applicable;
  • object to certain processing;
  • withdraw consent where processing is based on consent;
  • raise a concern about how your information is being processed.

Requests should be sent to:

Information Officer: Wybrand Ganzevoort

Email: info@collectivevaluecreation.co.za

Some requests may also be handled in accordance with CVC’s PAIA Manual and applicable statutory forms.

16. Complaints to the Information Regulator

If you believe that your personal information has been processed in a manner that does not comply with POPIA, you may raise the matter with CVC’s Information Officer.

You may also lodge a complaint with the Information Regulator (South Africa).
